What the Opposing Appraiser and Umpire See (Case Room)
How the opposing appraiser and umpire experience panel.awardlettr.com: signing in, viewing shared documents, uploading their own, and the panel conversation.
When you share a document with the opposing appraiser or an umpire, this is where they go to see it: panel.awardlettr.com, a small portal built just for the other people on a case. They do not need an AwardLettr account, and nothing about your workspace, your pricing, or your other cases is visible to them there, only what you have shared on the case they are part of.
Signing In
They enter the email address you have on file for them and get a 6-digit code by email, no password to remember. The first time, they also agree to the Participant Terms. That sign-in stays active on their device for about 90 days.
Your Appraisals: Their List of Cases
After signing in they land on "Your Appraisals," a list of every case they have access to across every appraiser they work with, not just you. They can search by address, insured name, claim number, or appraiser name, and upcoming inspections they need to attend are surfaced at the top so a quick glance answers "do I have anything today." Closed cases move to a separate archive tab instead of cluttering the main list.
Each row shows only what they would already know from working the file: the claim number, the insured's name, the property address, inspection dates, and which appraiser they are working with. Fees, your notes, time entries, drafts, and internal statuses never appear here.
Inside a Case Room
Opening a case takes them to its room: the property and inspection details up top, then everything currently shared with them, each one downloadable with one click. If a document is later revoked, it disappears from their room, no separate notice, it is simply no longer there.
Adding Their Own Documents
They can add a document too, an estimate, photos, a signed form, whatever the case calls for, using an "Add a document" button in the room. PDFs, images, Word, and Excel files up to 50MB are accepted. Anything they add is visible to the whole panel, including you, and shows up in the room's activity record.
The Panel Conversation
Each case room has one message thread for the whole panel, appraiser and umpire together, not separate side conversations. Every message also goes out by email, so replying straight from their inbox works too and posts back into the same thread. There is no way to message just one person privately from here.
A Shared Activity Record
Below the documents and the conversation, the room keeps a plain-language record of what has happened: who shared or removed a document, who opened the room, who downloaded what, and when. Everyone on that case's panel sees the same record, which keeps everyone honest about who has seen what.
Updating Their Sign-In Email
The option to change their sign-in email lives on their Profile page, but only once they have claimed their free panel profile there. Claiming is optional and separate from being on a case, most room-only members never bother, so do not assume a person you are working with can change their own email on the spot.
To claim it, they open their Profile page, fill in what they want (or leave it blank) and click "Claim my profile." Once claimed, an email change option appears there: they enter the new address, confirm it with a code sent there, and a heads-up email goes to their old address too. Their case history and everything already shared with them carries over to the new email without any action from you.
When a Case Closes
Once an appraisal is archived, its room becomes read-only for them: everything already shared stays available for their records, but no new documents can be added and the conversation is closed.
