Importing Directory Contacts

Import adjusters, appraisers, carriers, and umpires from CSV files.

If you have been appraising for years, you probably already have a list of carriers, adjusters, opposing appraisers, and umpires somewhere. Maybe a spreadsheet, maybe an export from QuickBooks, maybe contact cards in your phone. Re-entering all of that into AwardLettr by hand is a non-starter, especially if there are hundreds of records.

CSV import lets you bring your existing contact data over in one shot. Upload the file, map the columns to AwardLettr fields, review the preview, and the records land in your directory. You get to keep your historical contact list and your future cases benefit from clean dropdown selection from day one.

This is for new AwardLettr users migrating from another system, and for existing users who acquire a spreadsheet of contacts (maybe from a colleague, maybe from a TPA roster). Anyone with more than 20 records to add at once should reach for import instead of typing.

If you are migrating from another system or have a spreadsheet of contacts, you can bulk-import them into your AwardLettr directory using CSV files. This avoids entering records one by one.

How to Import Contacts

Go to the directory page for the contact type

Navigate to Directory, then select Adjusters, Appraisers, Carriers, or Umpires.

Click "Import"

Find the Import button near the top of the directory list.

Upload your CSV file

Click "Choose File" and select your CSV. The file must use UTF-8 encoding.

Map columns

Match each column in your CSV to the corresponding field in AwardLettr. Required fields must be mapped before you can continue.

Review the preview

AwardLettr shows a preview of the records to be imported. Check for any errors or warnings.

Confirm the import

Click "Import" to finalize. Imported contacts appear in your directory immediately.

Download a Sample CSV

On the import screen, click "Download Sample CSV" to get a template with the correct column headers pre-filled. Fill in your data using that file to avoid formatting issues.

Handling Duplicates

During the review step, AwardLettr identifies potential duplicate records by comparing names and email addresses. For each duplicate found, you can choose to:

  • Skip — do not import the record (keep the existing one)
  • Overwrite — replace the existing record with the imported data
  • Import as new — create a separate record alongside the existing one

Overwrite Is Permanent

Choosing "Overwrite" replaces the existing contact record. This action cannot be undone, so review carefully before confirming.
