Why this matters

Writing a professional status update from scratch on a Friday afternoon for the tenth file of the week is a slog. You know what you want to say. You just do not want to type it out ten times, in ten slightly different ways, with each adjuster's name and claim number plugged in correctly. By file number seven the quality drops, and you know it.

Status update emails fix that with three tools you can mix and match. Jot down bullet points and let AI turn them into a polished message. Schedule the send for Monday morning so the adjuster sees it first thing instead of after hours on a Friday. Or skip the typing entirely by leaning on the status automations that fire without you touching anything.

The appraisers who get the most out of this are the ones who would otherwise either skip the update (and pay for it later) or burn an hour on Friday writing them by hand. With the AI assist and scheduling combined, a clean update goes out in under thirty seconds per file.

Status update emails let you send a concise, professional update to the adjuster or carrier directly from an appraisal. You can write the message yourself, use AI to polish it, or schedule it to send at a future time.

Sending a Status Update

1

Open the appraisal

Navigate to the appraisal detail page.

2

Click "Send Status Update"

Find the button in the appraisal header or Actions menu.

3

Select recipients

Choose who should receive the email - typically the adjuster or the carrier contact.

4

Write your update

Enter the message. You can type a full email, or just jot bullet points and use AI enhancement to expand them.

5

Send or Schedule

Click "Send Now" to deliver immediately, or use "Schedule Send" to pick a future date and time.

AI Enhancement

Not sure how to phrase your update? Type a few bullet points summarizing the current situation and click "Enhance with AI." AwardLettr transforms your notes into a polished, professional email in seconds.

Keep Notes Minimal

You do not need to write complete sentences for AI enhancement to work. Short phrases like "inspection complete, estimate in progress, expect submission by Friday" are enough for the AI to craft a professional message.

Scheduling Future Sends

If you want to send an update at a specific time - for example, Monday morning before business hours - use the Schedule Send option. The email is queued and delivered automatically at the time you choose.

  • Pick any future date and time
  • Scheduled emails appear in the appraisal activity log as "Scheduled"
  • You can cancel a scheduled send before it goes out

Tracking Delivery

Every status update email is recorded in the appraisal Activity tab as part of the communications timeline. You can also view all outbound emails company-wide at Settings > Email Log.

Automated vs Manual

Status update emails can also be sent automatically via Status Update Automations. Automated emails follow the same format and are logged the same way - the only difference is they fire without any manual action from you.
