Automatically send professional status update emails to adjusters and carriers when an appraisal status changes.

Why this matters

Adjusters live in their inbox. When they hear nothing from you for two weeks, they assume the file is dead and they start escalating. That escalation lands back on you as a frantic phone call, and now you are explaining a routine inspection delay instead of just doing the work. The whole thing was avoidable with one sentence sent on schedule.

Status update automations send that sentence for you. When the file hits "Inspection Completed," the adjuster gets an email saying the inspection is done and the estimate is in progress. When the file hits "Working on Report," they get an email saying the award is signed and the report is being prepared. You set the rules once and every adjuster on every file gets the same professional treatment, on time, every time.

Without automation, the cost of forgetting one update on one carrier is a phone call, an awkward conversation, and a hit to the relationship. Multiply that across fifteen open files and a few months and you have a real client-retention problem. Wire the automation up once and the problem disappears.

Status update automations keep your clients and colleagues informed without requiring you to manually send emails at every stage of a case. Configure which status transitions trigger outbound emails and what those emails say.

How Status Automations Work

When you move an appraisal to a new status, AwardLettr checks if any automation rules match that transition. If a matching rule exists, it sends an email to the configured recipients using the template you defined.

Setting Up Status Automations

Go to Account Settings > Workflow

Navigate to your account settings and open the Workflow section.

Open Status Automations

Click on the Status Update Automations card.

Click "Add Automation"

Create a new automation rule.

Select the Trigger Status

Choose which status transition should fire this automation - for example, "When changed to Inspection Completed."

Choose Recipients

Select who receives the email. Options typically include the adjuster and/or carrier on the appraisal.

Customize the Email

Write or edit the email template. You can use placeholders to personalize the message with the insured name, claim number, and other case details.

Save

The automation is active. It will fire the next time any appraisal transitions to the configured status.

Customizing Email Templates

Each automation can have its own email subject and body. Use placeholders like the insured name, claim number, and property address to make the messages feel personal without extra effort.

Recurring Status Updates

For long-running cases, you can schedule recurring status updates so clients receive regular check-ins without any manual effort on your part. Configure the interval (e.g., every 7 days) and AwardLettr will send updates automatically as long as the appraisal remains in the selected status.

Email Log

All automatically sent emails are recorded in the appraisal Activity tab and in the company-wide email log at Settings > Email Log.
